Procare Solutions has launched RoomRunner, an AI-powered enrollment planning tool for child care centers. The tool is available immediately to all Procare Online customers at no additional cost.

Overview

RoomRunner is the first AI-powered enrollment planning tool purpose-built for child care centers, according to Procare. It replaces manual spreadsheet-based planning with automated forecasting and revenue recovery. The tool analyzes enrollment data, classroom capacity, child age progression, room transition timing, and waitlist demand from a single screen inside Procare Online.

What it does

RoomRunner provides directors with a clear view of their entire center today, tomorrow, and up to 12 months ahead. Key capabilities include:

  • Forecasting future classroom openings before they happen
  • Identifying unused capacity and recovering lost enrollment revenue
  • Planning room moves and child transitions proactively
  • Matching waitlists to future openings based on age and classroom fit
  • Communicating availability to families quickly and accurately
  • Identifying potential capacity risks before they become compliance issues

All recommendations are powered by data already in the director's Procare account, including classroom capacity, student ages, enrollment schedules, and waitlists. Directors must explicitly approve any recommendation before a change is made.

Tradeoffs

RoomRunner is designed specifically for licensed child care centers, not generic scheduling or workforce management software. It accounts for age-based classroom transitions, ratio management, waitlist prioritization, and family communication workflows. The tool is available at no additional cost to existing Procare Online customers, which Procare describes as one of the most significant product expansions to its platform in recent years.

When to use it

Early customers reported specific benefits. Jose Paulino, Director of Mariposa Child Care Center, said managing enrollment across two locations and eight classrooms previously required nearly 20 hours of manual planning. Danilynn Black, a Center Director, emphasized the value of giving families an immediate, accurate answer on availability. Samantha Skinner, Administrator at Precious Children in the Highlands Preschool, reported missing up to 20 percent of available enrollment revenue in overlooked gaps before using RoomRunner.
